Task Management Guide

This guide explains how to create, manage, and track tasks in a project effectively.

1. Overview of the Tasks Tab

The “Tasks” tab provides a comprehensive view of all tasks associated with a project. The following features are available:

  • + Add Task: Create a new task within the project.
  • Export: Download task data for reporting purposes.
  • Status Filter: Filter tasks by their completion status (e.g., Hide completed tasks).
  • Assigned To Filter: View tasks assigned to specific team members.
  • Milestones Filter: Filter tasks linked to specific project milestones.
  • Search Bar: Search for tasks by entering keywords, codes, or task names.
  • Task Table: Displays the following columns:
    • Code: Unique identifier for each task.
    • Task: Name of the task.
    • Completed On: Date when the task was completed.
    • Milestones: Milestones associated with the task.
    • Start Date: Task’s starting date.
    • Due Date: Task’s deadline.
    • Estimated Time: Time estimate for task completion.
    • Hours Logged: Total time spent on the task.
    • Assigned To: Employees responsible for the task.
    • Status: Current task status (e.g., To Do, In Progress, Completed).
    • Action: Options to edit or manage the task.

2. Creating a New Task

Follow these steps to create a new task:

  • Click the + Add Task button.
  • Fill out the “Task Info” section with the following details:
    • Title: Enter the name of the task (required).
    • Task Category: Categorize the task for better organization.
    • Project: Automatically displays the current project.
    • Start Date: Specify the task’s starting date (required).
    • Due Date: Specify the deadline for task completion (required).
    • Assigned To: Select team members responsible for the task.
    • Description: Provide additional details or instructions for the task.
  • In the “Other Details” section, configure additional options:
    • Label: Add a label for categorization.
    • Milestones: Link the task to specific project milestones.
    • Priority: Set the task’s priority (e.g., Low, Medium, High).
    • Status: Define the task’s initial status (e.g., To Do).
    • Optional Flags: Checkboxes to mark the task as private, billable, repeatable, or dependent on another task.
    • Add File: Attach relevant documents to the task.
  • Click Save to create the task or Cancel to discard changes.
  • Note the billable flag allows you to charge time to the specific task and invoice the client afterwards.

3. Managing Tasks

To manage existing tasks, follow these steps:

  • Edit Task: Click the action menu for the task and select “Edit.” Update the task details as needed and save changes.
  • Track Progress: Use the “Status” column to update the task’s progress (e.g., To Do, In Progress, Completed).
  • Filter Tasks: Use the status, assigned to, or milestone filters to narrow down task lists.

4. Exporting Task Data

To export task data for reporting:

  • Click the Export button.
  • Select the desired format (e.g., CSV, Excel) and download the file.

5. Tips for Effective Task Management

  • Assign clear roles and deadlines to tasks for better accountability.
  • Regularly update task statuses to ensure accurate project tracking.
  • Use task categories, labels, and milestones for better organization.
  • Monitor logged hours to track task effort and adjust plans accordingly.
