Kanban Board Management Guide

The Kanban board offers a visual representation of tasks for a project, organized into different status columns. It allows for quick task updates and status tracking.

1. Overview of the Kanban Board

The Kanban board consists of columns representing task statuses. Tasks can be moved across columns to reflect their progress. Key features include:

  • + Add Task: Create a new task directly from the board.
  • + Add Status Column: Add custom columns to reflect unique statuses in the project.
  • Status Columns: Default columns include:
    • Incomplete: Tasks not yet started.
    • To Do: Tasks ready to begin.
    • Doing: Tasks currently in progress.
    • Completed: Tasks that have been completed.
    • Waiting Approval: Tasks pending approval (tasks cannot be manually moved to or from this column).
  • Task Cards: Individual tasks displayed within each column, showing:
    • Task Name: Brief description of the task.
    • Assigned Users: Team members responsible for the task.
    • Project Name: The associated project.
    • Due Date: Task deadline.
    • Task Code: Unique identifier for the task.

2. Adding a New Task

To add a new task from the Kanban board:

  • Click the + Add Task button.
  • Fill in the task details, including title, description, assigned team members, due date, and priority.
  • Click Save to add the task to the appropriate column based on its status.

3. Adding a New Status Column

To add a custom status column:

  • Click the + Add Status Column button.
  • Enter a name for the new column.
  • Click Save to add the column to the Kanban board.

4. Managing Tasks on the Kanban Board

Tasks can be moved across columns to update their status:

  • Drag and drop a task card into the desired status column.
  • Tasks in the “Waiting Approval” column cannot be moved manually. Use the Tasks menu to update their status.

5. Best Practices for Using the Kanban Board

  • Keep task cards up-to-date by dragging them into the correct status column.
  • Use labels and due dates for better prioritization and tracking.
  • Limit the number of tasks in the “Doing” column to ensure focus on active work.
  • Review tasks in the “Waiting Approval” column regularly to prevent bottlenecks.
