Proposal Management Guide
This guide explains how to create and manage proposals for leads, including adding new proposals, reviewing existing proposals, and exporting proposal data for reporting purposes.
1. Overview of the Proposal Screen
The “Proposals” tab is designed to help you create and manage proposals for potential deals. Below are the key features of the screen:
- + Create Proposal: Click this button to create a new proposal for a lead.
- Proposal Template: Use this option to select or customize a pre-defined template for proposals.
- Export: Download all proposal records in CSV or Excel format for record-keeping or analysis.
- Filters: Use filters to narrow down proposals by:
- Duration: Specify a date range for proposals.
- Lead: Filter proposals based on the associated lead.
- Search Bar: Enter keywords to locate specific proposals quickly.
- Proposal Table: Displays the following key details:
- Proposal #: The unique identifier for the proposal.
- Deals: The associated deal or project.
- Contact Name: The lead or contact for whom the proposal is created.
- Total: The total value of the proposal.
- Date: The creation date of the proposal.
- Valid Till: The expiration date of the proposal.
- Status: The current status of the proposal (e.g., Waiting, Approved).
2. Creating a New Proposal
To create a new proposal, follow these steps:
- Click the + Create Proposal button on the “Proposals” screen. This will open the “Proposal Details” form.
- Fill in the required fields in the form:
- Lead Contacts: Select the lead or contact for whom the proposal is being created.
- Deal: Choose the deal associated with the proposal.
- Valid Till: Enter the expiration date for the proposal.
- Currency: Select the currency for the proposal (e.g., USD, EUR).
- Calculate Tax: Choose how taxes should be calculated (e.g., After Discount).
- Description: Add details about the proposal, including contract terms or other relevant information.
- Require Customer Signature: Check this option if customer approval is required for the proposal.
- In the Description section, add the items or services being proposed:
- Item Name: Enter the name of the product or service.
- Quantity: Specify the quantity of the item or service.
- Unit Price: Enter the price per unit.
- Tax: Apply any applicable taxes.
- Amount: This field is auto-calculated based on the entered details.
- Click Save to finalize the proposal or Cancel to discard it.
3. Managing Existing Proposals
The “Proposals” screen allows you to review and manage all proposal records. Here’s how:
- Filter and Search: Use filters and the search bar to refine the displayed proposals.
- View Details: Click the “Action” button next to a proposal entry to view or edit its details.
- Export Data: Use the “Export” button to download proposal records for analysis or reporting.
4. Tips for Effective Proposal Management
- Ensure Accuracy: Double-check all proposal details, including client information and totals, before saving.
- Set Valid Till Dates: Use realistic expiration dates to give leads sufficient time to review the proposal.
- Track Status: Regularly monitor proposal statuses to follow up on pending approvals.
- Use Templates: Utilize pre-defined templates for consistency and efficiency when creating proposals.
